Club Hire — Terms & Conditions

1. About these terms
These terms govern the rental of golf clubs from a PodGolf pod (“Equipment”) by an individual who has booked a session (“Customer”) at any PodGolf location. By authorising the refundable deposit through this site, you agree to these terms.
Golf Ventures Limited, trading as PodGolf (“we”, “us”), operates the service. You can reach us at hello@podgolf.co.uk or on 07783 629698.
2. The refundable deposit
Before unlocking the club locker we authorise a refundable hold of £200 on your payment card. The money is not taken at this point — your bank reserves it pending the outcome of your session.
After your session ends, we inspect the returned clubs. Once the inspection is complete and assuming no issues, the hold is released back to your card. The release is initiated by us immediately after inspection but the funds typically take up to 5 working days to reappear in your account depending on your bank.
3. When we may charge the deposit
We may capture some or all of the £200 hold in the following circumstances. Before capturing any funds we will email you photographs and an itemised explanation.
- Damage reported during your session — if a club or the locker is broken during your hire and you tell us before leaving, we charge the repair or replacement cost, capped at the value of the deposit.
- Damage not reported — if damage is subsequently discovered to a club or the locker that you did not report before leaving, we charge the repair or replacement cost (capped at the deposit) and reserve the right to pursue any further reasonable costs separately.
- Theft — if any of the clubs are not returned to the locker by the end of your session, we capture the full deposit and may invoice you separately for replacement cost above £200.
- Locker not secured — if the locker is left open or unlocked when you depart, the full deposit may be retained. If equipment is subsequently lost as a result, we may also invoice you for replacement.
We aim to assess and notify you of any deductions within 3 working days of your session ending.
4. Your responsibilities
- Check the clubs before use. Report any pre-existing damage to hello@podgolf.co.uk before starting your session — otherwise damage is assumed to have occurred during your hire.
- Use the equipment only inside the pod, for its intended purpose.
- Return all clubs to the locker, and ensure the door is closed and locked firmly, by the end of your booked session. There is no grace period — equipment left out after your session end time is treated as not returned.
- Select the correct locker for your handedness. PodGolf is not responsible for any inconvenience caused by selecting the wrong locker.
5. Disputes
If you disagree with any deduction from your deposit, email hello@podgolf.co.uk within 14 days of the deduction. We will respond within 5 working days with our findings.
Nothing in these terms affects your statutory rights under UK consumer law.
6. Liability
PodGolf is not liable for any indirect or consequential loss arising from your use of the equipment, including but not limited to missed bookings, performance during your session, or damage to personal property. Our total liability under this hire is limited to the value of your booking fee.
7. Data and privacy
We process your name, email, phone number and payment card details via Stripe Inc. for the sole purpose of fulfilling your booking and managing the deposit. Card details are stored by Stripe and never touch our servers. Booking metadata is retained for 7 years for accounting purposes.
8. Changes to these terms
We may update these terms from time to time. The version in force for your hire is the version published on this page at the time you authorised the deposit.
